As an Executive Assistant you will provide effective and efficient high level executive support to Directors including the prioritisation of work, diary management, meetings management and communication, document production, QA and governance. You may also provide lower-level support to the Directors immediate teams.

A bit about the job

This role is at the heart of the business, acting as a trusted first point of contact and a key connector for colleagues and stakeholders. You’ll be in your Director’s corner every day, providing sound judgement, practical advice, and clear direction on matters that can be complex and far‑reaching for our customers, shareholders, and the wider Aviva organisation.

You’ll keep everything running smoothly through effective diary, email, Microsoft Teams, and meeting management, making sure priorities are clear and nothing important slips through the gaps. That includes reading and triaging correspondence, delegating where needed, and staying on top of cyclical deadlines for reports, reviews, and budgets by prompting and chasing teams at the right moments.

You’ll support the Directors ensuring they show up prepared, organise meetings, setting agendas, pulling together briefing packs, and following up actions after meetings to keep momentum going.

You’ll bring clarity to governance, risk, and conduct activity – diarising obligations, tracking actions, and flagging issues early.

Skills and experience we’re looking for

  • Experience of working in a large and complex corporate environment
  • Significant previous experience of working in an office environment
  • Excellent IT skills, including a working knowledge of presentation software packages, preferably Microsoft Office Word, Excel, and PowerPoint
  • Working knowledge of their aligned Market/ Function
  • Ability to navigate internal networks and influence key stakeholders across the business
