Location: Dublin, Cherrywood
We’re looking for an Executive Assistant to support two senior leaders in ALPI — the COO and the Director of Corporate Development & Assurance. In this role, you’ll help keep things running smoothly by managing complex schedules, enabling clear communication and supporting governance activity across the business.
You’ll play a key part in helping our leaders focus on what matters most while ensuring day-to-day operations run efficiently. You’ll bring calm, structure and clarity to a fast paced environment. Duties & Responsibilities
Proactively manage complex and frequently changing diaries, ensuring effective prioritisation and seamless organisation.
Coordinate all aspects of national and international travel, preparing complete itineraries and managing logistics end-to-end.
Prepare briefing materials, presentations, confidential documentation and reports to support executive level decision making
Ensure effective organisation and preparation for all approval and meeting requests coming into the directorates including pack reading time, review meetings well in advance of meeting and submission deadlines.
Liaise with internal and external stakeholders, coordinating events, governance activities and adhoc projects with professionalism and care.
Demonstrate strong risk awareness, ensuring compliance with internal controls, governance frameworks and policy requirements at all times.
Ensure all supporting directorate administration tasks completed on time and in line with Aviva frameworks and policies
Skills & Experience
Substantial experience providing executive level support, ideally within insurance, financial services or a corporate environment.
Proven ability to manage complex diaries, travel arrangements and sensitive information with discretion and professionalism.
Strong organisational skills, with the ability to manage multiple priorities in a demanding, fastmoving environment.
Excellent interpersonal and communication skills, building trusted relationships across business areas and jurisdictions.
High proficiency in Microsoft Office (Outlook, PowerPoint, Excel and Word) and confident working with senior stakeholders using a proactive, solution focused approach.
