A bit about the job:
As an Executive Assistant, you’ll provide high-level support to 2–3 Directors, helping them manage their time, priorities, and responsibilities. You’ll be the first point of contact for diary and meeting management, correspondence, and coordination across teams. You’ll also play a key role in governance, risk tracking, and preparing materials for leadership forums. This is a varied and impactful role at the heart of Aviva’s leadership operations.
Duties & Responsibilities:
Proactively manage complex and frequently changing diaries, ensuring strong prioritisation, seamless organisation and full preparation time ahead of meetings, approvals and submission deadlines.
Coordinate all aspects of national and international travel, creating clear itineraries and managing logistics end‑to‑end for smooth, efficient journeys.
Prepare high‑quality briefing materials, presentations, confidential documentation and reports to support informed and timely executive‑level decision‑making.
Liaise with internal and external stakeholders, coordinating events, governance activities and ad‑hoc projects with professionalism, care and clarity.
Demonstrate strong risk awareness, ensuring full compliance with internal controls, governance frameworks and policy requirements in all activities.
Complete all supporting directorate administration tasks on time and in line with Aviva frameworks and policies, helping the team operate with structure and confidence.
Skills and experience we’re looking for:
Proven experience supporting senior leaders in the financial services sector. In particular, general insurance or IT functions within the sector.
Excellent organisational skills, working in a fast-paced environment where high levels of coordination are required. The director(s) work in a multi-functional area and this will require the ability to manage competing priorities and complex diaries.
Ability to communicate effectively with a wide range of senior stakeholders while maintaining professionalism and discretion.
Excellent IT skills, including Microsoft 365 (Word, Excel, PowerPoint, CoPilot).
Support for wider teams as required, including organising events and workshops, complex overseas travel itineraries, etc.

Starting salary circa £40,000 (depending on location, skills, experience, and qualifications)
Bonus opportunity - 8% of annual salary Actual amount depends on your performance and Aviva’s.
